? ? ? ? ? ? ? ? ? ? ? ? ? ? ⑦ Graduation Deferment ② Major Declaration ? ? ? ③ Major Change ④ Excused Absence ? ? ① Prerequisite Waiver Request The iCLA Administrative Office will send a Graduation Deferment Request Form to students who meet all the eligibility requirements. Submit the form to the iCLA Administrative Office by the designated date. After approval by the Faculty Forum and the President, a notice of graduation deferment and an invoice for the enrollment retainment fee will be sent to either the guarantor or the student. Pay the enrollment retainment fee (30,000 JPY per semester) by the designated date. (2) Procedures related to course enrollment Submit the Prerequisite Waiver Request with evidence proving obtained knowledge and skills equivalent to the prerequisite (e.g., course syllabus, transcript) to the iCLA Administrative Office. The iCLA Administrative Office contacts the course instructor about the Request. The course instructor decides if the prerequisite is waived. If the prerequisite is waived and the course is not at capacity after the course add/drop period, the iCLA Administrative Office will register the student for the course. The iCLA Administrative Office notifies the student of the results of the Request. Attend the Choose Your Major session and receive the Major Declaration Form Fill out the Major Declaration Form, then consult with Temporary Advisor and obtain their signature. Submit the Major Declaration Form by the designated deadline. Receive the Major Change Form from the iCLA Administrative Office. Consult with current and new major advisors to understand the impact of the change on graduation date etc., to confirm the Study Abroad plan, and obtain their signatures on the Major Change Form. Submit the Major Change Form to the iCLA Administrative Office. The submission deadline is 1 month prior to the internal Study Abroad application deadline for students who plan to participate in Study Abroad, and the end of the semester prior to the semester in which they will be taking ‘Seminar’ for all other students. Inform the iCLA Administrative Office of the reason for absence. Receive an Excused Absence Request Form from the iCLA Administrative Office and fill out the form. Submit the Excused Absence Request Form and the required document proving the reason for the absence to the iCLA Administrative Office in principle within a week from the day of absence. The final submission deadline is the end of final exam week of that semester. The iCLA Administrative Office notifies the student/ instructor whether the request was approved. 54
