? ? ? ? ? ? ? ① Leave of Absence *Documents for reasons for Leave of Absence (illness or injury: doctor's certificate; psychological reasons: doctor's certificate or documents with specialist's findings, etc.; ② Leave of Absence Extension ? ? (1) Procedures related to student status Contact the iCLA Administrative Office to consult about taking a Leave of Absence, and receive a Leave of Absence Request Form. Promptly pay any unpaid university and other mandatory fees. If a Leave of Absence is requested without paying unpaid fees, it may not be granted. Submit the Leave of Absence Request Form and documentation with the reason for the Leave of Absence* to the iCLA Administrative Office. The deadline for submission for students taking a Leave of Absence in the spring semester or a year is May 31 of that academic year, and for students taking a Leave of Absence in the fall semester is December 28 of that academic year. The Leave of Absence begins from the first day of the month following the month in which the Request is submitted. After approval by the Faculty Forum and the President, an Approval of Leave of Absence Request and an invoice for the enrollment retainment fee (30,000 JPY per semester/60,000 JPY per year) will be sent to either the guarantor or the student. Pay the enrollment retainment fee by the date designated by the University. If the enrollment retainment fee is not paid by the designated date and there is no response to the several reminders for payment, the Leave of Absence may be cancelled. For holders of the status of residence “Student,” submit proof of departure from Japan to the iCLA Administrative Office. If university fees for the period of Leave of Absence were paid before the Leave of Absence application was submitted, the university fees for the period of Leave of Absence will be refunded by monthly proration after confirmation of the enrollment retainment fee payment. The iCLA Administrative Office contacts students who are eligible for a Leave of Absence Extension during their Leave of Absence and provide the necessary form. Submit the Extension of Leave of Absence Request Form before the designated date to the iCLA Administrative Office and newly obtained documents of the reason for the Leave of Absence. After that, follow the same procedures as ①. 1.
